Ten minutes here = numbers you can trust. HAHA runs your machines. VENDBase runs your business. Your sales flow in automatically, but a few numbers only you know (what you paid, addresses, router status). Fill them in and your dashboard shows real profit, not estimates. Tap any item to jump straight to the right spot.
Steps marked you tick this happen in the HAHA app or on your machines. VENDBase cannot see them, so a tick there records that you did it. It is not something we checked.
💰 Make your numbers real (do these first)
Fix product costs in HAHA Until every product has a real cost, your margins are estimates. Ask the AI for the steps →
Enter what you paid for each machine This is how VENDBase tells you when a machine has paid for itself. Go to Machines →
Add each machine's business name & address The address is what makes your mileage (and your tax deduction) accurate. Go to Machines →
Flip the router toggle on router machines you tick this Router machines pay $25/mo instead of $40. A wrong toggle hides $15 of profit per machine, every month. Tap to open the Business card of the first machine; tick the box once they are all set.
Set your home address Every trip starts here: it's the starting line for your deductible miles. Go to Miles →
Sync your sales now Pull in your HAHA history and watch the dashboard fill in. No reason to wait. Go to Sales →
📱 In your HAHA app
Verify sell prices are right you tick this VENDBase reads prices from HAHA: a wrong price there means wrong revenue here.
Give every slot a product you tick this Empty slots can't be tracked. A complete planogram means complete inventory numbers.
Confirm your machine IDs you tick this They must match your HAHA portal exactly, or sales can't find their machine.
🧾 Tax season will thank you
Log your HAHA bill Screenshot the bill, drop it on the AI. Your fees get logged for you. Go to Bills →
Log your first receipt Any receipt you photograph becomes a tracked, deductible business expense. Open the AI →
Save your sales tax permit info Permit number and status, stored where you'll find them at filing time. Go to Machines →
Add a contact for each location The venue owner's name and number: one tap away the day a machine acts up. Go to Machines →
IRS mileage rate: handled We keep this at the current IRS rate ($0.725/mile for 2026). Nothing to do. Just know it's working for you.
📦 Optional, only if it fits how you work
Track stock you keep outside the machines Only if you hold product at home or in storage before it goes into a machine. Take a look →
Count what is on your shelf One pass, product by product, biggest sellers first. One count is enough to start. Start counting →
